Responsible for protecting the Museum’s interest in relationship to the artifacts in the Museum Collection as well as artifacts placed in the Museum’s care by individual and institutional lenders. Manage the acquisition and deaccession process according to the Collections Policy established by the Board of Trustees. Ensure that all legal documents concerning artifacts and loans are in place. Responsibilities include, but are not limited to:

• Establishes paper and electronic documentation of the permanent collection and incoming and outgoing loans.
• Examines incoming artifact loans and establishes its baseline condition to protect the Museum’s interest in questions of condition changes of the artifact while in the Museum’s care.
• Secures legal title, provenance, history and transport for all new accessions.
• Establishes insurance needs for the department including appraisals and certificates of insurance.
• Organizes the meetings of the Collections Committee including scheduling, preparing agendas and implementing decisions.
• Assigns accession numbers to all new acquisitions.
• Organizes the deaccession process and arranges appropriate disposal methods.
• Writes and updates the AAM Standard Facilities Report, which is required for many incoming loans, especially long-term loans.
• Works with the Preparator to pack, crate and ship artifacts.
• Database administrator for Collections artifact database, KE/Emu.
• Works with the Collections Department and temporary exhibition teams on artifact-based exhibitions.
• Work with security to monitor exhibit case alarms.
• Manages the periodic inventory of the Museum’s Collection.
• Occasionally will supervise temporary employees for specific projects; including interviewing, hiring and training employees.
