Summary

The Access & Loans Registrar manages access to the physical objects collection, including packing, moving and storage, all loans, and research and media requests. Coordinates the de-accessioning process and mitigates risks for all collection types by monitoring collections and storage spaces for disasters, security, environment and pests.

Responsibilities

Essential Duties and Responsibilities:

  • Coordinates all collections moves and artifact retrievals required by internal and external constituents, records location changes and reconciles issues, and coordinates work with outside contractors such as conservators, movers, riggers and others for special projects as approved
  • Provides access to the physical object (hardware and ephemera) collection in support of requests from curator, researchers, media, etc. including retrieving artifacts and documenting requests
  • Assists with all aspects of incoming and outgoing loans with outside institutions and individuals, including documentation, condition reporting, packing and receiving, and shipment of artifacts, and may serve as courier for local transports
  • Researches and reconciles old loans, develops related procedures and reports, catalogs objects and continuously improves permanent paper file and database records as needed
  • Assist with the receipt and processing of large collections
  • Coordinates with other Collections staff to conduct periodic physical inventories of the collections
  • Manages the physical care of the collection, including monitoring all storage and exhibit spaces for environment, pests, security and similar risks
  • Serves as security during onsite photography and filming in exhibit or storage spaces
  • Keeps up-to-date the general facility reports and disaster plans for on- and offsite locations
  • Teams with the Acquisitions & Exhibits Registrar to support exhibits, including installation, ongoing artifact security and cleanings
  • Coordinates activities at offsite storage including artifact cleaning and collaborating with Facilities staff for forklift and other facility-related support


Qualifications

Required Background, Experience, and Education:

  • Masters degree in Museum Studies with 3+ years progressive experience as a professional registrar
  • Demonstrated experience in and knowledge of museum collections best practices with emphasis in domestic and international loans processing, condition reporting, shipping logistics, and insurance/indemnity
  • Experience in large artifact cataloging, handling, moving, collections storage and preventive conservation
  • Experience using Mimsy XG or similar collections management relational database
  • Familiarity with environmental standards for collections storage
  • Ability to manage multiple projects, establish priorities and organize/execute several tasks simultaneously
  • Excellent written and oral communications skills specific to provenance research, policies, documentation and correspondence as well as excellent interpersonal and organizational skills
  • Ability and willingness to maintain high level of accuracy and attention to detail with the ability to collaborate with a wide variety of museum professionals, vendors, volunteers, interns, and others
  • Ability to work both independently and collaboratively with a diverse group of people
  • Ability to lift 40 lbs., climb a ladder, learn to use a pallet jack and learn to drive a scissor lift
  • Staff in this position must travel between multiple locations. Valid CA driver’s license and reliable transportation are required.

  • Experience using eClimate Notebook
  • Experience working with and supervising interns or volunteers
  • Familiarity with computer, technology or electronics collections
