Summary
The mission of the Rubin Museum of Art is to foster a dynamic environment that
stimulates learning, promotes understanding, and inspires personal connections to the
idea, cultures, and art of Himalayan Asia. Now in its eighth year, the museum welcomes
over 200,000 visitors annually and has 6,000 members. The museum is recognized for its
innovative exhibitions and programs that explore cross-disciplinary ideas, and offers
thematic exhibitions that often offer cross-cultural comparisons. The pace is lively with
more than ten changing exhibitions and more than 250 public programs a year. The
museum’s preeminent collection includes works of art from present-day Afghanistan,
Bhutan, China, India, Mongolia, Nepal, Pakistan, and the Tibetan Plateau.
The Museum seeks an Associate Registrar, who will be required to organize, manage and
care for the Museum’s permanent collection, and will participate in the implementation
of its main in-house, traveling exhibition and loan programs. The position reports to the
Head of Collections Management and Registration.
Responsibilities:
Responsibilities include but are not limited to the following:
 Work with Collections Management and Registration team to manage the
ongoing, day –to-day care and maintenance of nearly 3,600 objects in the
Museum’s collection and 400-500 loans per annum, stored in multiple locations,
according to professional museum standards
RMA Collections
 Facilitates and records movement of objects to ensure safe handling, packing,
transportation and installation of work in the Collection, possible acquisitions,
temporary custody items and loans. Organizes and maintains all departmental and
Collection file, both paper and electronic.
 Supervises data collection and accurate entry into the collections database,
various other information databases
 Oversees climate and pest programs for Collections Management department
 Coordinates all logistics for incoming and outgoing work from the Collection
including but not limited to shipping, insurance, courier arrangements, condition
reports, unpacking/packing, and installation/de-installation and prepares condition
reports, receipts, releases, and insurance certificates
 Assists with assessing condition, conservation, framing and photography
priorities; coordinates logistics for these priorities
 Assists in writing any grants related the permanent collection
 Manages yearly inventory of collection and generates reports
Exhibitions/Loans
 Supports Assistant Registrar for Loans and Exhibitions with coordination of all
logistics for incoming and outgoing loans including but not limited to, gathering
preparatory information on object for various departments, corresponding with
lenders, and arranging shipping, insurance, couriers, as well as executing
condition reports, unpacking/packing, and installation/de-installation, as needed
 Assists in creating exhibition budgets.
 Assists in writing any grants, Indemnity or Immunity from Seizure applications
related to exhibitions
 Travels as courier for exhibition and loan shipments as needed.
 Other duties as assigned.
Qualifications:
 Bachelor’s degree in art, art history, museum studies or related field, MA
preferred
 Minimum five years of museum registration experience managing loans and
exhibitions
 Demonstrated knowledge of best practices in fine art collections
management including the handling, care, preservation, installation, and
storage of art, registration methods, electronic collection records, special
exhibitions and loan administration, and fine arts insurance and indemnity.
 Knowledge of and skill in using electronic collection management databases
such as Past Perfect and Microsoft Office programs.
 Extraordinary project management skills and attention to detail
 Self-motivated, resourceful, and flexible; creativity in analyzing and solving
problems
 Ability to work successfully with others and to communicate complex
matters in English to diverse audiences in an effective manner, both verbally
and in writing
 Excellent ability to interact with funders, donors, faculty, students and
colleagues
Salary:
 Competitive salary range between $45-$55k per annum, commensurate with
experience.
