Position Description: The Registrar oversees and tracks owned and curated/repository collections and objects that enter and leave MNA as acquisitions, loans, or deaccessions. The Registrar produces legal paperwork related to these transactions and helps coordinate exhibits. The Registrar will help with other collections management tasks as needed including housekeeping and IPM (Integrated Pest Management). The Registrar supervises and trains registration interns, students and volunteers and interacts with Collections staff, Curators, Public Program and Exhibits staff as well as museum colleagues at other institutions and museum patrons.


Major Tasks and Responsibilities:


Maintains all transaction records including accession and incoming and outgoing loan files and ledger books
Documents and tracks transactions in MNA's collections management system
Generates legal paperwork related to collection/object transactions including gifts, loans, acquisitions and deaccessions
Coordinates activities relating to loans including insurance, inventory, inspection, photography, condition reporting, packing, shipment and risk management
Processes new acquisitions including initial data entry, inventory, photography, condition reporting, object marking and movement.
Aids Department staff with housekeeping, IPM and environmental monitoring activities
Continues to upgrade accession and loan information in MNA's database.
Assists in Collections Management Policy and Procedures Manual updates and revisions
Recommends changes and updates to forms in consultation with legal council
Aids the Collections Manager in the preparation of collection grants
Manages the Collections Department Supply Budget
Helps with collections management and preventative conservation projects as needed or assigned
Supervises Registration assistants, volunteers, interns, students and work-study students


Job Requirements
Education and Experience Requirements:


Master's degree in Museum Studies or other appropriate discipline along with formal museum studies coursework is required
Three years of museum registration and/or collections management experience required

Abilities, Skills and Knowledge:


Up-to-date knowledge of professional museum standards and trends.
Knowledge of government regulations and legal requirements relating to collections including copyright, 36 CFR Part79, NAGPRA and the Endangered Species Act.
Knowledge of preventative conservation theory, policy and practice for anthropological, biological, geological, fine art, photoarchives, and archive collections.
Experience with professional collections management software and environmental monitoring equipment
Experience with digital photography, photography techniques and photoshop software
Strong oral, written, and organizations skills.
Ability to maintain confidentiality in all professional matters.
Demonstrated ability to communicate, orally and in writing, with staff, trustees, vendors, and others.
Good organizational skills and attention to detail.
Familiarity with Microsoft Office suite or other similar products.
Supervisory skills and ability to work independently and as part of a team

Working Conditions:
Generally work indoors, Monday through Friday, 7 hours per day, usually between 9 am and 5 pm. Odd hours and long days may occasionally be required. Must be able to lift heavy containers (50 lbs) and handle fragile items.
