Associate Registrar
The Smart Museum of Art's Associate Registrar manages registration functions related to loans and exhibitions, and helps oversee logistics and coordination of major museum projects and exhibition planning.


Duties
Manage registration aspects of the museum’s exhibition program, including on-site/touring, and national/international exhibitions. This includes preparing and reviewing budgets, arranging shipping and insurance for loans, supervising packing and preparing condition reports, issuing receipts, supervising installation/deinstallation (in conjunction with curators and preparation staff), acting as a courier, and hiring and managing temporary preparation staff. Help develop and maintain standardized exhibition planning documents and processes. Manage touring exhibitions, working closely with the museum director and curators. Draft, negotiate, and process exhibition-related contracts, working closely with museum staff and university legal counsel. Deliver exhibition materials and catalogs to venues and serve as their main staff contact.
Facilitate overall planning, coordination and logistics of major museum projects and exhibitions, working in concert with the Head Registrar and the museum’s Program Council. Coordinate programming meetings, including scheduling, preparing agendas and planning documents, and recording and archiving minutes. Update museum calendars and schedules. Develop dates and deadlines for major museum projects and exhibitions. Maintain the master exhibition calendar, determining dates with cross-departmental input and communicating updates and exhibition information to staff and faculty. Work closely with curatorial staff to create production schedules and monitor deadlines.
Coordinate loan activity, both outgoing from the permanent collection and incoming from long-term lenders, with assistance from registration team. This includes preparing and reviewing contracts, arranging shipping and insurance, supervising packing, issuing receipts and condition reports, and acting as a courier.
Works with curators and Head Registrar to prepare registration budgets related to exhibitions and loans. Performs other administrative tasks as necessary.
Stay current in the field. In tandem with the registration team, cross-train and assist with permanent collection management and other registration tasks as needed to ensure that overall registration functions of the museum operate well.
Qualifications
Bachelor’s degree required, preferably in art history or closely related subject (Master’s degree preferred).
Previous experience required in a museum registration office. Management experience preferred.
Knowledge of museum standards regarding the care and handling of art. Knowledge of international exhibition and loan management preferred.
Knowledge of legal and ethical issues surrounding a museum art collection.
Strong computer skills and familiarity with databases, especially TMS.
Ability to travel and work outside regular business hours, when necessary.
Ability to represent the museum in a professional manner to donors, lenders, professional colleagues, and all university constituencies.

Ability to participate in transportation of artworks and withstand various outdoor temperatures.
