Position Summary

Reporting to the Associate Registrar/Rights and Reproductions Manager, the Rights and Reproductions Assistant will primarily be responsible for securing images and reproduction rights for exhibitions and related publications and promotional materials, as well as collections-based projects. The Rights and Reproductions Assistant will also assist with coordinating photography of artworks in the Museum’s collection or on loan to Museum.

Principal Responsibilities (Essential Functions)


Work closely with Exhibitions, Curatorial, and Communications staff to identify images needed and scope of use for exhibitions and related publications and promotional materials
Research copyright status and contact information of copyright holders and licensing agencies for images and other media
Contact institutional or private lenders, copyright holders and licensing agencies to obtain necessary images and reproduction rights
Coordinate payment of invoices and retain completed licenses
Communicate license terms to stakeholders and proofread materials to ensure terms are met
Track permissions granted and crediting requirements in TMS and/or the digital asset management system
Upload images to the digital asset management system and coordinate access to them by other staff
Maintain complete project files for permissions, licenses, and due diligence

Secondary Responsibilities


Coordinate photography of collection and loaned artworks by contract photographer
Assist with securing reproduction rights for collections-based publications and promotional materials
Create and track non-exclusive license requests for new acquisitions
Participate in departmental activities, other intellectual property-related projects and perform other daily rights-management tasks as assigned
Other duties as assigned

Minimum Qualifications

Education, Training, and Traits:


Bachelor’s degree from accredited college or university and at least one year of administrative experience required
Knowledge of or strong interest in copyright issues, particularly in non-profit or academic environments

Work Experience:


Experience working in a museum, library or academic setting preferred

Licenses and Certifications:


Valid driver’s license with clean driving record required

Skills and Abilities:


Excellent written and verbal communication skills
Excellent organizational and administrative skills
Proficiency with standard office equipment and software
Ability to follow projects through to completion
Ability to meet deadlines and handle multiple tasks simultaneously
Ability to work in a fast-paced environment with strong attention to accuracy and detail
Ability to interact collegially with all employees at all levels of responsibility

Preferred Skills and Abilities:


Understanding of license agreements and copyright law
Familiarity with The Museum System (TMS) or similar collections database
Familiarity with Adobe Photoshop and digital asset management systems

Work Environment: Work will be performed in an office environment and museum spaces. The noise level in the work environment is usually low to moderate.
