Duties & Responsibilities:
Job Summary:
Reporting to the Manager of Exhibition Production and Collections Care; responsible for maintaining all of the Harvard Art Museums' collections including its fine art, archival, materials and study/research collections, art storage, packing and shipping, physical processing and inventory. Ensures the Museums' collections are handled, transported, preserved, and stored in a safe and secure manner, facilitating preservation and access, according to professional and institutional standards.

Duties and Responsibilities:

Responsible for supervising, training, hiring, and scheduling daily work assignment for collections care staff.
Works with a variety of internal museum divisions and the other departments within Collections Management to develop, implement, and update policies and procedures related to all aspects of collections care including art handling guidelines, access guidelines, collections database development, art packing, handling, storage, and maintenance for all collections including variable/time-based media.
Ensures staff is trained appropriately according to guidelines, policies and procedures.
Collaborates with Collections Administrator and Registrars to develop art shipping and internal art movement schedules, transit lists, and acquisitions processing.
Coordinates all incoming and outgoing shipments of artwork in all Harvard Art Museums' facilities and conveys loading dock activity to security.
Oversees and schedules activity in Temporary Crating and Receiving areas in Museums' buildings. Ensure that rooms meet TSA requirements.
Oversees all daily operations for the packing and unpacking of artwork, shipping, and storage, while ensuring collection safety and accurate location tracking.
Participates in the coordination of care, packing, shipping, and storage of University Loan and University Portrait collections program with Collections Administrator and Collections Coordinator.
Processes new acquisitions and integrates into permanent storage. Updates and records handling, packing, and any other Collections Care related information in TMS (Museums' database system).
Develops and administers the Harvard Art Museums art handling training program in collaboration with conservation.
Oversees future development of the in-house barcode scanning system or appropriate alternatives. Trains staff in the use of the program and its relationship with TMS.
Collaborates with the Associate Registrar for Collections on the development and maintenance of the Inventory Program for collections that verifies location, condition, archival housing needs, art movement, and any general care concerns of incoming and existing collections in storage and on exhibit.
Performs audit related spot inventories as determined by the Associate Registrar for Collections.
Provides assistance to the Director of Collections Management as needed as part of the Collections Branch section of the Emergency Procedures process. Works with conservation on managing and updating emergency supplies as they pertain to the fine art collections.
May be required to travel as courier for loans, exhibitions, or for special packing/unpacking of art off-site.
Manages special projects as they relate to collections care. Performs related duties as assigned.

Basic Qualifications:
Bachelor's degree in Art History, Studio Art, Museums Studies or related field; minimum of five years of working experience and progressively responsible leadership experience in collections management in a museum setting. Additional Qualifications:
Strong organizational and interpersonal skills. Excellent writing, planning, research, communication, project management, mechanical skills, and public speaking skills and experience. Detail oriented and skills in negotiation and resolution of non-routine problems. Hands-on experience and mechanical understanding of issues specific to the shipping, handling, and preservation of works of art in all media; ability to prioritize and manage a variety of activities with shifting deadlines; collaborative and effective teamwork; accuracy with detail; knowledge of art handling equipment, materials, and safety standards; computer literacy with the ability to learn new applications.
Additional Information:
Physical requirements include walking, standing, stooping, pushing, and pulling; must be able to reach and work above the shoulders, climb ladders, use personnel lift, kneel, twist, and squat. Must be able to lift heavy objects (up to 30 lbs.) comfortably.
