Assistant RegistrarThe Natural History Museum of Los Angeles County is looking for a qualified AssistantRegistrar to work with our Research and Collections department. We seek a highly proactiveindividual who demonstrates professionalism, independent judgment, and attention to detail.This position’s main responsible is the record-keeping for Museum acquisitions, incoming andoutgoing loans.Responsibilities for this position include, but are not limited to:• Staff and Volunteer Coordination: Provides operational coordination to staff, volunteers, workstudy students, interns, and contractors as needed.• Research Support: Provides assistance to outside researchers and curatorial staff withresearch projects relating to museum collection records.• Registrar's Records and Database: Maintains registrar's records in the KE-EMu collectionsdatabase. Designs and/or revises paper and electronic forms pertaining to acquisitions,collection loans, receipts, shipments and/or release of Museum objects and specimens. Assistswith generating the Registrar’s Annual Report to the Museum’s Board of Governors.• Registration - Outgoing Loans: Handles and processes all outgoing research loans andtransfers of Museum collection objects and specimens.• Outgoing Loan Processing: Processes, updates, and maintains the records for outgoing loantransactions from the Museum (including insurance documentation, renewal and returns) incooperation with curatorial and collections staff. Sends loan extension query letters as needed.Coordinates with relevant department the return of any outgoing loan as needed.• Registration – Incoming Loans: Handles and processes all incoming research loans andtransfers of lending institutions and individuals’ collection artifacts and specimens.• Incoming Loan Processing: Processes, updates, and maintains the records for incoming loantransactions to the Museum (including insurance documentation, renewal, and returns) incooperation with curatorial and collections staff. Coordinates with relevant department thereturn of any incoming loan as needed.• Accessioning of Collection Items: Processes all accessions into the permanent collection,which includes donations, purchases, exchanges, and field trips. Creates acknowledgementletters for Director's signature.• General: As appropriate works as a member of interdepartmental teams to ensure the effectiveand efficient operations of the Museum. Other duties as assigned, dependent on organizationalneeds and employee skills.This position has the following requirements:• Bachelor’s Degree in a related field preferred (e.g. Art History, History, Historical Archeology,Anthropology, Museum Studies, or science).• Minimum 2 years’ experience and skill in artifact/art/specimen/object handling, and museumregistration is preferred.• Strong computer skills and proficiency with word processing and demonstrated experiencewith automated collection records.• Knowledge of museum registration methods and collections management practices.• Excellent oral and written communication skills.• Strong organizational and problem-solving skills with ability to ably manage multiple tasks.• Must be a self-starter, detail-oriented, have strong interpersonal skills, and be able to work wellalone as well as in a group setting in order to interact effectively with a wide variety of staffmembers and outside individuals.Salary is commensurate with experience plus excellent benefits.
