REQUIRED QUALIFICATIONS:


Bachelor’s degree in art history, museum studies or related fields and 4 years of museum operations experience or a combination of related education and work experience to equal 8 years
Demonstrated knowledge of current and accepted museum registration techniques and practices. Experience in working with museum collections databases and familiarity with producing reports
Demonstrated thorough grasp of art registration practices and principles
Computer experience

PREFERRED QUALIFICATIONS:


Bachelor's degree in art history or related field preferred, ideally with focus or concentration in collections management
Prior supervisory experience.
Demonstrated strong organizational, interpersonal, written and verbal communications skills
Demonstrated ability to meet deadlines;

PAY RANGE: $43,264 - $47,000, depending on qualifications
WORK DAYS: Monday to Friday, 8:00 to 4:30









About the Job





Registrar for Collections has primary responsibility for the care of the art collection and its associated records, including copyright; accessioning and deaccessioning; outgoing loans to other museums; and educational/research use of the collection. Works collaboratively with Senior Registrar in the smooth running of the registrars office, which is responsible for the maintenance of orderly records and legal documents, cataloguing and conditioning, packing and shipping, and storage, care, and security of the art collection. Registrar for Collections supervises collections technician and copyright assistant. Oversees volunteers and research/special projects assistants as needed. Directs daily work of assistant to the registrars.
Duties and Responsibilities:
Collections Management (35%)


Has primary responsibility for overseeing the management and maintenance of the museum’s onsite art storage areas
Has primary responsibility for all aspects of collections management related to objects entering the museum as possible new accessions
In collaboration with other staff, manages improvements to the collections database
Designs and oversees project to maintain copyright information about works in the permanent collection
Supervises and coordinates activities of staff - permanent and temporary staff as well as volunteers - involved in collections-related tasks
Suggests improvements to records management and collections database methods, including ongoing design improvements to collections database
Coordinates visiting curators, scholars, and students researching the collection
Oversees conservation and treatment of collection objects as needed
Responds to collection inquiries and research requests
Keeps abreast of current collections care techniques and methods, and applies new approaches as appropriate

Accessioning (25%)


Has primary responsibility for the accessioning/deaccessioning of collection objects, including gifts, bequests, purchases, and transfers, and coordinates accessions meeting process
Ensures professional standards for record-keeping, handling, security, and storage of newly-accessioned objects
Collaborates with curatorial staff on collection of information about new accessions
Collaborates with director, curatorial staff, accessions committee members, art donors, artists, vendors, shippers, appraisers, and development staff to ensure smooth functioning of accessioning process
Coordinates research on values for new works entering collection
Oversees storage of each work of art according to standard museum practice and responsible for completion of documentation entered into collections database
Prepares yearly report for University fiscal services on accessions and deaccessions
Assists in determining objects for deaccessioning consideration

Outgoing Museum Loans (25%)


Responsible for smooth, efficient functioning of domestic and international loans to other museums
Assesses suitability of loan requests in consultation with director and curator, and negotiates any special needs with borrowers
Reviews borrowing museum facility reports, loan agreements, and insurance agreements
Reviews, prepares and signs loan agreement forms
Coordinates research on values for works approved for loan
Coordinates loan arrangements with borrowing institutions and approves all shipping arrangements
Oversees conservation and framing as needed, along with packing, crating, and shipping arrangements
Monitors progress of loans and condition of objects during lending period and maintains records for duration of loan
Prepares invoices issued to borrowing institutions and tracks payment
Acts as courier to accompany designated works of art from the museum to borrowing institutions

Mentorship/Education (5%)


Solicits, educates, trains, and supervises interns in museum registration methods
Counsels, guides, and acts as mentor for students interested in museum work
Participates in teaching opportunities about the collection and registration

Professional Development (10%)


Keeps abreast of trends and developments in collections management, registraral best practices, and art museum standards, policies, and procedures
Networks and consults with other registrars and museum colleagues around the country and world methods.
