General Description:
The Registrar Assistant reports to the department Administrator with dotted line responsibility to the Associate Registrar for collections. This person's primary responsibility is the assigning of accession numbers for all works of art acquired into the Museum's collections. He/she also works closely on a daily basis with curatorial staff to be sure that proper recordkeeping is maintained. Other projects include archival record maintainence and working with TMS staff and the curators to resolve outstanding problems of accessioning. He/she is also responsible for culling examination files and closing out Registrar records for works which have been acquired. He/she is also essential for the smooth operation of the Registrar's office, not only as assistant to the Registrar, but for the department at large with responsibility for day-to-day operational functions.

Primary Responsibilities and Duties:


Assigning accession numbers based on reports of Curatorial Purchase and Gift forms including transcribing numbers on reports

Entering data into TMS database

Printing accession cards; updating accession records with changes of status

Notifying the curatorial departments of accession numbers

Updating lists for circulation from Board, Executive and Acquisitions meetings

Protecting Accesion files against theft, misuse or damage

Providing back-up support to two collections registrars; printing Expect reports, Receipts, SR1 ID's and Packing reports from TMS, and follow up filing of these reports

Assisting with digital photography of incoming examination material as needed

Providing all courier support for 5 exhibition registrars: hotel reservations, ID requests and Per Diem requests (with responsibility to safeguard and reconcile several thousand dollars of Per Diem at any given time)

Preparing courier packets; ordering insurance as needed; escorting couriers to/from exhibition galleries and Storeroom One

Word processing, filing, Xeroxing, telephone reception, mail distribution, petty cash requests

Serve as Kronos Timekeeper for the department; creating schedules, reviewing employee time cards weekly for exceptions and missing punches, and running reports as needed

Ordering supplies and other vendor requirements for the department utilizing a Museum P-Card; reviewing monthly P-Card statements for management approval; maintaining office/copier supplies

Maintain Museum vehicle scheduling distribution system

Provide back-up support to Administrative Assistant for bookkeeping activity (preparing Supplier Invoices and tracking status)

Requirements and Qualifications:
Experience and Skills:


Registration experience preferred

Candidate must be detail oriented and accurate

Candidate must possess excellent communication skills

Good office and interpersonal skills, professional telephone manner, ability to work in a fast paced environment and accept high level of responsibility, ability to multi-task and work independently.


Knowledge and Education:


BA degree or museum studies program required

Experience in various computer programs (MS Office Suite) required

One-two years registration experience preferred

Experience in cataloguing and collections management systems (TMS) preferred
