GENERAL SUMMARY: Under the direction of the Chief Registrar, the Assistant Registrar, Rights and Reproductions will assist with all aspects of collections management including the documentation, management, movement, and care of all permanent collection objects and objects on loan. The Assistant Registrar, Rights and Reproductions will oversee internal and external collection and special exhibition image uses, work with the Registration Assistant, Photographer to coordinate collections photography, oversee storage systems for collection images, and administer the Museum’s photography policies. He/she will work in cooperation with the Digital Media Specialist, Curatorial, and Collections & Exhibitions staff as needed.

DUTIES AND RESPONSIBILITIES – ESSENTIAL FUNCTIONS:



Assist with the general care of the collection

Assist with exhibitions as needed

Participate in Registration staff goal setting and goal achievement

Process internal and external requests for use of images

Retain permission use contracts for both internal and external requests and document all instances of ‘fair use,’ manage collections database records of copyright and bibliographic information

Initiate and manage licensing agreements to rights holders for works in the Museum’s collection

Obtain and manage licensing agreements for works loaned to the Museum for special exhibition

Administer requests for photography in the Museum galleries and ensure that photographers are supervised in gallery spaces

Negotiate fees, invoice, and process payments for image usage and for photography requests

Process payment for fees associated with the Museum’s use of images owned by other rights holders

Educate Museum staff regarding copyright basics

Liaise with other museum departments as needed for clearing image use permissions

Report on image usage

Work with Registration Assistant, Photographer to coordinate collections photography

Ensure the physical well-being of the image collections

Work with other members of the museum staff to ensure that images of important acquisitions are available when needed


MINIMUM QUALIFICATIONS FOR CONSIDERATION:

EDUCATION: BA or BFA in Museum Studies or related field. Masters Degree preferred.
PROFESSIONAL EXPERIENCE: Minimum two years of museum registration experience in intellectual property management preferred.
KNOWLEDGE/SKILLS/ABILITIES: Must be self-motivated, well organized, detail-oriented and have strong interpersonal (oral and written) communication skills. Knowledge of intellectual property law, with a primary focus on copyright and fair use within a museum context preferred. Knowledge of digital and traditional film photography and media. Must be familiar with collections database software, preferably KE EMU. Ability to work collaboratively and positively to achieve imaging objectives and effectively explore and address challenges.

DESIRABLE QUALIFICATIONS/ATTRIBUTES -


Excellent communication skills, time management, and project management skills.

Must maintain confidentiality.

Ability to define goals follows projects through to completion, handle multiple projects concurrently, and use good judgment.

Ability to work with a team and independently, with accuracy and minimal guidance. Work well with others within department and institution.

Strong computer skills, including collections management database experience. Working knowledge of Microsoft® software applications (Outlook, Word, Excel, and PowerPoint).

Knowledge of The Mint Museum’s collections, goals, values and mission.


WORKING CONDITIONS: Normal office environment. Must be able to visually inspect artwork. Must have the ability to bend, lift 40 lbs. without assistance, and climb stairs. Must have valid driver’s license.
