Senior Exhibitions Coordinator
The Fine Arts Museums of San Francisco are seeking a Senior Exhibitions Coordinator. The Senior Exhibitions Coordinator supports the functions of planning and implementing exhibitions at the de Young and Legion of Honor Museums. Essential functions of this position include: the management of the functions and resources of the exhibitions department; assisting with the coordination of planning with other museum departments, including calling and participating in meetings and/or making presentations before groups; monitoring of contractual agreements; and budget development, administration, and fiscal reporting.

Typical Duties and Responsibilities:


Enters, approves, and tracks purchase orders in the P.O. database and processes invoices and travel expenses in Papersave for final review and signature by Director of Exhibitions. Maintains pending and paid files by exhibition department and project numbers. Tracks shared expenses and invoices each venue at conclusion of exhibition.
Creates, updates weekly, and distributes exhibition task schedules in consultation with all museum departments. Follows up with relevant staff to ensure deadlines are met.
Prepares or reviews draft exhibition co-organizer, guest curator, and artist contracts. Circulates draft contracts among staff and City Attorney for review and enters comments into document. Distributes final contracts upon signature. Maintains contract obligations outlining the requirements and associated deadlines for each exhibition.
Coordinates details of exhibition tours. Communicates, prepares correspondence, and coordinates with other venues. Distributes lender catalogue.
Generates and maintains FileMaker database for each exhibition, including data entry and loan request letters.
Maintains and updates documents and spreadsheets for assigned exhibitions on the P-drive including: Task Schedules, Installation Calendar, Exhibition Schedule, and Contractual Obligations.
Coordinates museum departments in relation to each exhibition throughout the installation and de-installation process.
Coordinates itineraries and travel arrangements for VIP guests associated with exhibition program as per contractual obligations.
Works closely with all relevant museum departments to create, maintain, and distribute a monthly installation calendar reflecting all museum activities relating to museum installation work.
Responds to inquiries from other Fine Arts Museums departments and the public, some requiring research, consolidation of information, and interpretation.
Receives, distributes, responds and tracks exhibition proposals.
Calls exhibition meetings and creates agendas to discuss all aspects of exhibition and permanent collection installations.
Reviews the museum website and magazine to make sure the exhibition, title, dates, and credit lines are correct.
Maintains files on past, current, and future exhibitions including circulating exhibitions, tour schedules, tour participants, and exhibition offerings.
Reserves space on the Master Calendar for meetings and reserves space to reflect the temporary closure of galleries for exhibitions or permanent collection installations.

Minimum Qualifications:
Education: Bachelor's Degree in Art History required. Master of Arts Degree preferred.
Work Experience: Minimum of 5 years of museum experience.
Skills and Abilities:


Advanced knowledge of Microsoft Office (Word, Excel, Outlook, and PowerPoint), as well as other standard office computer skills, procedures, and equipment.
Knowledge of TMS and Adobe Photoshop.
Strong clerical and organizational skills with attention to detail.
Excellent interpersonal, written, and oral communication skills.
Ability to adhere to deadlines.
Strong follow-through.
Flexibility in meeting shifting demands and priorities.
Ability to work simultaneously on multiple projects in a highly demanding and fast-paced work environment with limited supervision.
Ability to work with confidential exhibition material of financial and legal nature.
Ability to exercise a high level of discretion, diplomacy, and initiative.
Desire to function in a team and in a service-oriented environment.


Step 1 of the pay range is $27.99 per hour.
