POSITION TITLE: Collections Manager / Registrar
REPORTS TO: Curator
CLASSIFICATION: Full-time
Summary: di Rosa Center for Contemporary Art seeks a qualified collections specialist to oversee the registrarial management of di Rosa’s permanent collection, physical archive, digital assets, and exhibitions projects.

Responsibilities:
Collection


Responsible for registration of collection artwork, including outgoing loans, movement, and conservation
Manage shipping and receiving of artwork including administrative activities, arrangement for travel of works of art, condition reports, installation of artwork at di Rosa and other venues, and courier duties
Oversee artwork documentation and image asset management
Liaise with facilities to manage maintenance of art storage areas, and off site professional art storage facilities
Communicate directly with collection artists when required
Oversee the deaccession of a portion of di Rosa’s permanent collection: work with legal advisors, prepare correspondence, manage timeline, provide recommendations, oversee research needs, update di Rosa’s records
Maintain artist files and update as necessary
Oversee interns and contract staff related to collections management
Manage conservation reporting, documenting, and liaising with contract conservators— especially for the offsite cleaning of 500+ objects and the onsite cleaning of 125 outdoor sculptures affected by the North Bay wildfires

Exhibition


Manage and oversee tracking, registration, care and handling of art objects for incoming loans, commissioned works, and temporary projects
In collaboration with the Curatorial team and the Lead Preparator, provide on-site supervision and care of all works of art during installation and de-installation, and throughout the run of an exhibition
Document incoming and outgoing artwork presented at di Rosa; arrange exhibition photo shoots with contract photographer
Handle contracts with outside vendors related to registrarial projects including insurance policies and government certifications
Oversee artist contracts related to commissioned works and temporary projects
Support artists in the shipping of materials for the creation of works on-site
Track and monitor repairs to artwork; notify owners and insurance carriers in case of damage
Support the Lead Preparator in maintaining exhibitions; open and close galleries for public viewing
Manage exhibition images and work with Marketing on distribution
Work closely with the Curator and contract Exhibition Designer to assure the best results for the curatorial vision of a project

Archive and Non-Collection Holdings


Update and implement policies and procedures related to the maintenance and care of 6,400 sq. foot historic residence building housing permanent collection, original furniture, and archival items
Oversee best practices and inventory of non-collection items
Manage the transfer of archival materials to Bancroft Library

Site and Facilities


Point person for other di Rosa staff regarding events and activities that may affect exhibition objects
Maintain inventory of materials and supplies for registration work
Liaise with facilities team to weigh in on OSEH compliance, general security, and emergency planning



RequirementsMinimum Requirements:


Bachelor’s degree in Visual Arts, Art History or equivalent experience required
Specific coursework in registrarial procedures preferred
4 years’ experience as Registrar or similar position in a museum, gallery, or arts organization
Demonstrated knowledge of museum display techniques
Experience with art handling, storage, packing, crating, and installation
Experience with museum object database systems (The Museum System preferred), PC computer systems and software
Excellent written, verbal, and interpersonal communication skills
Excellent organizational skills, with particular attention to detail and capacity to effectively manage multiple tasks and deadlines
Ability to work effectively in partnership with people of diverse cultural backgrounds
Flexibility to work variable schedules, including days, evenings, and weekends

Working Conditions: Applicants must be comfortable with and enjoy nature, including native waterfowl and domestic peacocks that roam freely on the grounds. Must possess a car and valid driver’s license and be willing to work occasional nights and weekends.
Physical Demands: This position will include a large amount of moving between buildings and on event sites. It requires an ability to stand, walk, move and remain active consistently and for sometimes lengthy periods. Ability to lift 50 pounds. Ability to perform routine bending, stooping, twisting, and reaching. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job
