Under the general supervision of the Deputy Director and Chief Curator and in collaboration with the Art and Education division staff, manages exhibition logistics using strong project management skills to ensure successful execution of exhibitions and related programs in support of the Portland Museum of Art’s (PMA’s) mission.
ESSENTIAL JOB FUNCTIONS:


Manages exhibition scheduling and production, including preparing loan and photography requests, corresponding with artists and lenders, creating and distributing checklists, producing exhibition labels, generating project evaluation forms, scheduling exhibition-related meetings, coordinating exhibition design, and other exhibition preparation.

Manages relationships between PMA and collaborating institutions, including editing and routing contracts, ensuring contractual compliance, and providing ongoing communication.



Manages the development and coordination of scholarly publications and other exhibition-related projects.

Leads monthly Exhibition Task Force meeting. Maintains intra-departmental communication for all matters related to exhibition planning and logistics.



Develops, maintains, and updates exhibition budgets.



Assists with research and writing related to exhibitions, acquisitions, and the collection. Performs research off-site at area libraries and archives as needed.



Participates in Risk Management meetings to assess and mitigate risk and ensures exhibition activities confirm to the policies and procedures of the PMA.

Develops tracking and evaluation systems to measure and evaluate efficient and effective use of resources toward accomplishment of established goals.



Fosters relationships and builds philanthropy with patrons at the PMA, as defined by displaying behavior that welcomes all individuals contacted during work. This may include answering questions, utilizing approachable body language such as smiling and making eye contact, thanking people for visiting the PMA, and other open and engaging behavior daily.



Supports the PMA’s strategic goal to advance a culture of inclusivity and diversity.



Performs special projects and other related duties as required, directed, or as the situation dictates.

Complies with all Portland Museum of Art safety rules and procedures.

Regular attendance at the workplace is required.




RequirementsBachelor’s Degree in Art History or a related field with a minimum three years of experience in arts administration, art history, fine art, or another museum or gallery position. Advanced study in Art History or Museum Studies preferred.
QUALIFICATIONS:


Ability to multi-task, organize work, and meet deadlines with careful attention to detail in a fast-paced, collaborative environment.
Excellent written and oral communication skills, including ability to adhere to PMA brand charter and style guide, and ability to communicate effectively with constituents in person, over the phone and via email.
Excellent research skills, including familiarity with arts-related resources and databases.
Familiarity with protocols of business correspondence, as well as the ability to write art historical texts.



Ability to establish, maintain, and foster positive and harmonious working relationships with coworkers and a variety of individuals contacted in the course of work.



Ability to operate computers and assigned software, including Microsoft Office, EmBark, and Altru.
Ability to handle sensitive and confidential information with discretion.
Ability to pass a criminal background check.
