POSITION: REGISTRAR



Full-time, exempt



REPORTS TO: Chief Curator and Director of Exhibitions



SUPERVISES: Registration Assistants, volunteers and interns



GENERAL: This is a hands-on position that will require an ability to think strategically while acting tactically. The position is responsible for managing the processes of receiving, securing, cataloguing, caring for and maintaining art works and records for the collection. This includes loans to and from the Museum as well as acquisitions, both donations and purchases, to the permanent collection. This position will review the collection and items submitted for the collection in accordance with policies and procedures established by the Museum. The position will review and propose necessary changes and manage review of policies from time to time to meet accreditation requirements for the AAM. S/he will assist the museum in achieving best practices with regard to the collection in the area of registration. The position will supervise registration staff and volunteers; assist photographers, guest curators and curatorial consultants; assist with installation of Museum exhibitions and work with the Collections Committee.



PRIMARY RESPONSIBILITIES:



Information Management : Manual and Computerized
Oversee administration of EmbARK database and instruct and assist its users. Ensure data integrity, perform periodic clean up and set policies around data entry. Work with Library, Archives and Digitization Manager to ensure effective linkage of data to Commons platform and to Mingei website. Create a condition report on each object with digital photographs; separate report for EmbARK files. Reviews and ensures system specifications and leads team in collection software choices, is part of and leads data standards efforts and management of data input. Train others in use of Embark.



Collection Management
Properly safeguard and store art objects on loan for past or forthcoming exhibitions, for acquisitions or in the permanent collection
Supervise the receipt, unpacking, inspection, condition verification, as well as ensure appropriate cataloguing of art objects coming to the Museum for exhibition or accession/non-accession and assure that each object has accompanying documentation for loan or accession completed and signed. Acts as courier or will designate an appropriate choice for courier work.
Acknowledge gifts to the permanent and temporary collection with gift receipts and thank you letters. Communicates with Development to ensure appropriate tracking of donor gifts accessioned or not accessioned. Maintain records on non-accessioned objects and communicate to Development donors whose items are not to be accessioned.
Work with Collections committee to review collection content in keeping with Mingei strategic goals.
