Job DescriptionManages the Museum’s TMS collections database and works with all aspects of museum collections management. Duties involve working with the historic house collection and the Museum’s fine art collection, as well as coordinating photography rights and reproductions. Reports to the Director of Collections Management/Internal Operations. Assists Director of Internal Operations with administrative functions of the department and the division.

Job RequirementsEssential Functions:


Serves as systems administrator and manages and coordinates all activities for the museum’s collections management software, TMS.
Assists in the management of the museum’s website database interface.
Provide appropriate database support for creating records and refinement of existing records.
Manages all aspects of the Museum’s rights and reproduction requests as well as photography of the permanent collections.
Manages the Museum’s preventative conservation program including regular light-level management, pest management, housekeeping practices and climate-control monitoring and intervention.
Assists with the Museum’s exhibition program during installations and de-installations.
Responsible for open and frequent communication with all staff members to ensure a safe environment for the collection and objects in the Museum’s possession; responsible for keeping up to date records in these subject areas.
Serves as administrative assistant in scheduling meetings, ordering departmental supplies and writing letters as needed.
Holds meetings on a regular basis to problem solve HVAC system issues with the Director of Facilities.
Continue to catalogue objects in the historic house collection as time allows.
Responds to public inquires and provides access to storage as needed.
Provides supervision and art handling during PR filming and photography sessions.
Manages the Museum’s Emergency Preparedness Plan as it relates to the collections; works with the Director of Security to ensure that all aspects of the plan meet industry standards.
Assists with writing condition reports and photographing objects in the permanent collections.
Assists with inventorying the collection both on and off-site.
Assists with devising and implementing a rotation schedule for all light-sensitive objects.
Assists Director of Internal Operations with administrative functions.
Performs other related duties as assigned.

Minimum Qualifications: Bachelor’s degree in Art History or related field, plus a minimum of three years of collections management experience in a museum setting. Master’s degree preferred. Knowledge of and proficiency with The Museum System (TMS) collections database software.

Knowledge, Skills, Abilities:


Knowledge of standard museum collections management practices and procedures.
High degree of proficiency with The Museum System (TMS) collections management software.
Excellent organizational and office skills.
Knowledge of copyright procedures as related to image use.
Basic art-handling skills.
Proficiency in Word, Excel, Access, the internet and other peripheral office equipment.
Accuracy and attention to detail.
Skill in establishing priorities.
Excellent communication skills, both verbal and written; strong interpersonal skills.
Ability to organize workflow, coordinate activities and work under pressure and with deadlines.
Skill and knowledge of project management.
Ability to hold sensitive information confidential.
Physical coordination/skills to handle and move fragile collection objects.
Strong communication and interpersonal skills; must be team oriented.
Ability to multi-task and be flexible in work assignments.
