Job DescriptionPosition Summary
Reporting to the Associate Registrar for Exhibitions and Loans, the Assistant Registrar assists in the management of the Permanent Collection and the facilitation of temporary exhibitions. The position is responsible for a broad range of registration functions of which primary duties include assistance with the care, maintenance, and preservation of art works in the Permanent Collection and the performance of registration functions relative to temporary exhibitions including loan agreement, condition reports, and insurance and transit arrangements. The Assistant Registrar is required to exercise discretion and judgment in actively managing both the Museum’s collection and art works owned by other institutions or individuals that are part of temporary exhibitions or otherwise on loan to the Museum. The Assistant Registrar may serve as supervisor to interns or volunteers.
Principal Responsibilities (Essential Functions)
Temporary Exhibitions


Handle exhibition and touring logistics, including loan agreements, condition reports, packing and shipping arrangements, as assigned by the Associate Registrar for Exhibitions and Loans
Coordinate, in collaboration with the Associate Registrar for Exhibitions and Loans, insurance and customs paperwork related to temporary exhibitions
Assist with preparing and executing reproduction contracts and create and manage reproduction contract hardcopy file for temporary exhibitions
Supervise the unpacking, installation, de-installation and re-packing of artwork, as assigned
Monitor conditions of environment and artwork in galleries, create weekly reports, and maintain artwork in galleries
Assist with transportation and lodging arrangements for traveling couriers
Manage and coordinate the checklist for the Special Project, a multi-year exhibition program, in conjunction with the President and Assistant Curator, and Associate Registrar for Exhibitions and Loans
Assist with managing the photography of any incoming exhibitions

Collections Management


Assist Associate Registrar for Exhibitions and Loans in all duties
Work with the Operations & Facilities Division and Associate Registrar for Exhibitions and Loans to maintain an integrated pest management program
Assist with the annual inventory of the Permanent Collection and temporary loans
Perform periodic condition reporting of art works in the Permanent Collection and review of same
Assist with logistics of artwork shipments and location tracking for loans
Coordinate, in conjunction with the Associate registrar for Exhibitions and Loans project-specific collections data entry projects
Keep apprised of approved and current registrarial standards as well as basic conservation guidelines for the care and handling of artworks

Secondary Responsibilities


Perform general administrative duties such as filing, copying, running errands, and general data entry as it relates to temporary exhibitions
Act as courier, as assigned, to accompany exhibitions and loans worldwide
Complete special projects and basic research as assigned
Complete all other duties as assigned within the scope of responsibility and skill required for the job


Job RequirementsMinimum Qualifications
Education, Training, and Traits:


Bachelor’s degree from accredited college or university required, with course work in art, art history, museum studies or related field preferred
Knowledge of principles and procedures of Collections Management filing and record keeping

Work Experience:


Minimum two years of museum registration experience with a focus on collections management and/or exhibitions
Experience using complex collections database applications, The Museum System (TMS) preferred

Licenses and Certifications:


Valid driver’s license with clean driving record required
Ability to obtain valid passport

Skills and Abilities:


Proficiency in the use of MS Office software to include: Outlook, Word, Excel
Strong written and verbal communication skills
Must have excellent attendance and punctuality
Strong organizational skills and analytical skills
Ability to exercise discretion and independent judgment
Ability to work in a fast-paced environment with strong attention to accuracy and detail
Ability to multi-task and think critically
Ability to work independently and with initiative

The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. Physical demands: In the work environment described below, position requires working at desk and utilizing a computer for prolonged periods of time and good eye/hand coordination. Position also requires verbal and written conversation with others, as well as standing, walking, bending, climbing, reaching, strenuous lifting/moving objects up to 25 pounds. Vision abilities required by the job include close vision.
Work Environment: The majority of work will be performed in an office environment. The noise level in the work environment is usually low to moderate. Work requires periodic transport of packed library objects to and from local off-site storage facilities. Work requires occasional independent travel to and from these local off-site library and art storage areas as well as performance of inventory-related activities in these storage areas. Periodic travel as a courier to accompany exhibitions and loans worldwide required. Occasional weekend, evening and night work hours also required.
