Job Title: Registrar

The Santa Monica Museum of Art is currently seeking a Registrar/Production Coordinator. Applicant must possess acute attention to detail, excellent communication skills, and the ability to maintain good judgment and clarity under pressure. Working with a lively team of museum staff, the Registrar/Production Coordinator must be able to juggle multiple projects while maintaining the highest level of organization, resourcefulness, and accuracy. He or she works closely with the executive director to ensure rigorous standards of presentation.

Responsibilities include managing exhibition records, contracts, and policies; overseeing object handling including packing, crating, transportation, condition reporting, and onsite security of objects; supervising outside professionals and contractors to maintain the museums facilities; and coordinating the design, fabrication, construction, and installation of exhibitions.

Essential Responsibilities

Exhibitions

· Maintain working files for exhibitions including checklists, estimates, loan agreements, correspondence, condition reports, shipping/crating, loan forms, etc. while initiating and maintaining good relationships with all private and institutional lenders.
· Document the packing and unpacking of artwork, including creating packing guidelines for exhibitions originating from SMMoA.
· Obtain estimates for shipping, crating, and all other necessary expenditures for exhibitions and the museum facility.
· Maintain operation of tools and hardware as needed as well as the organization and cleanliness of prep room and AV closet with the Chief Preparator.
· Work with insurance carrier to create certificates of insurance for exhibitions.
· Document and follow through on any damage to artwork.

Installation

· Work directly with curators, artists and Executive Director to achieve design and functional goals of exhibitions.
· Arrange and facilitate all transport of artworks and traveling exhibitions and ensure proper handling and storage of all artwork under SMMoA’s care.
· Organize and prepare calendar for deinstall/install periods as well as determine and acquire any needed equipment for exhibitions and installations.
· Establish and maintain relationships with contractors for building projects.
· Maintain appearance of exhibition including touch-up painting on walls, dusting, replacing light bulbs, removing scuff marks on floors.

General and Facilities

· Stock, order, and maintain all wrapping and handling materials, lights, hardware, tools, and equipment; maintain inventory and maintenance of all A/V equipment, exhibition furniture, exhibition catalogs, wtc.
· Oversee maintenance of building and hire various contractors as needed including electrical, plumbing, pest control, HVAC.
· Make sure building meets Monitor gallery climate and maintain records of hygrothermographs and dataloggers weekly, maintain and calibrate this equipment as necessary for Facilities Reporting.
· Ensure the cleanliness of the facility, including hiring and overseeing cleaning services as well as mopping weekly and spot cleaning as needed.
· Maintain guidelines for emergencies, including the Emergency Procedures Manual.
· Oversee and maintain all storage in the museum, including deep storage, storage along gallery walls, and off-site storage.

Qualifications

Education: Bachelor’s degree. Study in Fine Art, Architecture, or Design preferred.

Work Experience: Minimum 2 years of experience in an art institution or gallery, successful history as a registrar or preparator, and thorough knowledge of loan agreements, insurance, and contracts. Experience managing independent art handlers and other contract workers. Craftsmanship and exhibition design experience highly desirable.

Skills & Abilities: Ability to juggle multiple projects while maintaining the highest level of organization, attention to detail, and accuracy. Excellent judgment and clarity under pressure. Resourcefulness, outstanding communication skills, and diplomacy. Proficiency in Adobe design suite and Microsoft office suite.

Working Conditions

Willingness to work flexible hours. Evening and weekend hours will be required. Must be able to lift 25 pounds. Must own a car and possess a valid driver’s license and insurance.
