The Natural History Museum of Los Angeles County is looking for a qualified Assistant Registrar to work with our Research and Collections department. We seek a highly proactive individual who demonstrates professionalism, independent judgment, and attention to detail. This position’s main responsible is the record-keeping for Museum acquisitions and outgoing loans.

This position has the following responsibilities, but are not limited to:
• Staff and Volunteer Coordination: Provides operational coordination to staff, volunteers, work study students, interns, and contractors as needed.
• Research Support: Provides assistance to outside researchers and curatorial staff with research projects relating to museum collection records.
• Registrar's Records and Database: Maintains registrar's records in KE-EMu. Designs and/or revises paper and electronic forms pertaining to acquisitions, collection loans, receipts, shipments and/or release of Museum objects and specimens. Generates the Registrar’s Annual Report to the Museum’s Board of Governors.
• Registration - Outgoing Loans: Handles and processes all outgoing loans, and transfers of Museum collection objects and specimens.
• Outgoing Exhibitions: Draft customized loan agreements for outgoing exhibition loans including background information on each loan. Oversees and coordinates the work of staff during the loading/unloading, packing/unpacking, installation and deinstallation, and storage of exhibitions as it relates to registrarial and handling procedures.
• Logistical Support - Outgoing Loans and Exhibits: Provides support to various Museum staff, lending institutions, private lenders, packers, freight movers and shipping agents to coordinate logistics and scheduling of all outgoing collections, as needed, and exhibits. Reports any inconsistencies or damage to the appropriate Museum staff and organizing/lending institution.
• Outgoing Loan Processing: Processes updates and maintains the records for outgoing loan transactions to the Museum (including insurance documentation, renewal and returns) in cooperation with curatorial and collections staff. Sends loan extension query letters as needed. Coordinates with relevant section the return of any outgoing loan as needed.
• Accessioning of Collection Items: Processes all accessions into the permanent collection, which includes donations, purchases, exchanges, and field trips. Creates acknowledgement letters for Director's signature including deeds of gift.
• In-House Exhibit and Object Storage: Assists Chief Registrar in management and coordination of in-house exhibits including deinstallation/installation schedules, work orders, logistics, and condition reports of objects. Oversees the safe transport of objects to storage or other collection-designated space, as assigned.
• Vendor Contract Development and Coordination: If directed by higher levels of management and based on expertise pertinent to the contract, may be involved in identifying vendors, soliciting bids, selecting vendors, drafting the specifics of contract language and guiding the work of vendors. Under these circumstances, keeps the Vice President, Director or Manager responsible for the contract informed of work and any challenges encountered that might impact or alter the terms of the contract including accomplishment of contract goal, budget and deadlines. As directed, interacts with vendors.
• General: As appropriate works as a member of interdepartmental teams to ensure the effective and efficient operations of the Museum. Other duties as assigned, dependent on organizational needs and employee skills.

This position has the following requirements:
• Bachelor’s Degree in a related field preferred (e.g. Art History, History, Historical Archeology, Anthropology, Museum Studies, or science).
• Minimum 2 years experience and skill in artifact/art/specimen/object handling, and museum registration is preferred.
• Strong computer skills and proficiency with word processing and demonstrated experience with automated collection records.
• Knowledge of museum registration methods and collections management practices.
• Excellent oral and written communication skills.
• Strong organizational and problem-solving skills with ability to ably manage multiple tasks.
• Must be a self-starter, detail-oriented, have strong interpersonal skills, and be able to work well alone as well as in a group setting in order to interact effectively with a wide variety of staff members and outside individuals.

Salary is commensurate with experience plus excellent benefits. This is a full time, regular, non-exempt position.
