Job Description

The primary duties of the assistant registrar are:
Oversee entry of new acquisitions: Receive and track receipts for study and other documents relating to incoming acquisitions. Maintain acquisition records in MIMSY Collection Management system as needed. Send and receive Contracts of gift. Communicate with donors as needed regarding the donation process. Record accessions. Manage Item History (accession) files. Create preliminary catalog records for new acquisitions. Work with Registrar on inventory and management of Incoming Acquisitions Holding Room. Assist Senior Curator with monthly Curator’s Review of incoming acquisitions. Manage and track outgoing loans under the supervision of Registrar. Create new outgoing loan records in MIMSY Collection Management System as needed. Track and update outgoing loan records in MIMSY. Maintain outgoing loan files. Communicate with borrowers regarding the loan process. Assist Curators and Conservator with management of loan requests. Collaborate with Collection Manager on packing and shipping outgoing loans. Catalog objects in the collections.

Job Requirements

MA degree in history, museum studies, art, or related field. Key position requiring a minimum of three years’ experience in museum registration.Proficient in the use of PC and Mac software programs including Microsoft Office Suite and Adobe Photoshop. Demonstrated collection management database experience especially MIMSY. Able to drive van; no special license required. Good driving record, a must. Knowledge and understanding of the professional standards of museum registration. Registrarial experience working with outgoing loans, including valuation and insurance, handling, housing, exhibiting, and the documentation of historical objects. Proficient in artifact handling with the dexterity to handle fragile artifacts safely. Ability to lift 50 lbs. Excellent written and verbal communications skills required.Strong interpersonal skills and ability to work in a dynamic team environment.Ability to work with minimal day-to-day supervision.
